DRS Project Toolkit: Review of Initial Submissions

The majority of our meeting was dedicated to summarizing and assessing the submissions we've received so far for The DRS Project Toolkit. As of 3/26/15 we had received nine submissions. Applications and summaries of initial comments on submissions are available on Podio (not posted here in order to preserve the anonymity of the applicants) once Jim updates the DRS Project Toolkit app with comment fields.

After a general discussion, it was agreed that there were six projects that seemed viable and three projects that seemed highly viable. That being said, the conversation emphasized the particular staff / labor needs of sustaining 9-10 pilot projects (in addition to keeping track of current projects), so there will need to be a follow-up discussion that might potentially reduce the number of accepted projects to a more manageable number.

We also discussed particular tools that projects seemed to need or require: mapping features, timelines, gallery or exhibit templates / mosaics.

There is a need to determine and document "scaled deliverables" for pilot projects so that the DSG can clearly and specifically commit to particular project benchmarks and resources (in addition to committing to regular meetings and communication with project teams / leads). Particular deliverables may vary depending on the project and the status of project materials.

We also discussed documenting interactions with pilot projects in Podio (ideally via creating contacts in the Contact List app) so that the entire staff can get a sense of the frequency of meetings / topics covered / other information related to outreach and project management.
